Law Firm Accounting Setup Fees: What to Expect (With Real Costs)

Read time: minutes

Executive Summary & Key Points

The Big Picture

Most solo and small law firms do not start with a strong accounting system. They start with whatever works. That often means spreadsheets, bank balances, and a folder full of receipts.

At first, this feels manageable. But as revenue and your team grows, problems begin to show. Reports are unclear. Taxes feel unpredictable. Trust accounts become harder to track.

Moving to a professional system requires real work. That is where law firm accounting setup fees come in. These fees are not just for software. They cover accounting cleanup, tax compliance, and building a system that supports your firm long term.

At Aligned CPA, pricing is designed to be simple. There is a monthly fee for ongoing support and a one-time setup fee to get everything in place correctly.

Are your law firm's finances truly aligned with your goals — or just keeping you busy?

The Cheat Sheet

  • Monthly accounting services generally cost between $850 to $2,500, depending on complexity
  • Setup fees can range from $2,000 to $15,000
  • Accounting cleanup or backwork may increase the setup cost
  • Trust accounting setup is a major part of the process
  • A proper system reduces tax liability, risk, and stress

The Business of Law and Financial Structure

Practicing law and running a law firm are two different things.

As an attorney, your focus is on clients, cases, and outcomes. But behind every successful firm is a financial system that supports those efforts.

When your accounting is unclear, everything becomes harder:

  • You do not know your real profit
  • You cannot plan for taxes
  • You may overspend without realizing it
  • You risk errors in trust accounting, unknowingly putting your license at risk

Most firms wait too long to fix this. They focus on the cost of hiring a professional. What they miss is the cost of not doing it.

Disorganized accounting leads to overpaid taxes, missed deductions, and wasted time. It also creates stress every time tax season comes around.

A proper system changes that. It gives you clarity. It allows you to plan. It turns your numbers into a tool you can use to grow your firm.

Ultimately eliminating stress and anxiety.

What Are Law Firm Accounting Setup Fees?

Why It Matters

Setup fees are often misunderstood. Many attorneys see them as an extra charge. In reality, they cover the most important part of the process.

Without proper setup, your accounting system will not work correctly.

CPA Pro Tip

The setup phase is where most problems are uncovered and fixed. If this is done poorly, your monthly accounting will always feel off and there’s a good chance you would be overpaying in income taxes.

Why “Shoebox” Accounting Increases Your Setup Cost

Why It Matters

The condition of your books directly impacts your setup fee.

The more disorganized your records are, the more time it takes to fix them.

How It Works

When a firm comes in with “shoebox accounting,” we usually see:

  • Transactions not categorized
  • No reconciliations completed
  • Duplicate or missing entries
  • No clear financial reports
  • Trust accounts not properly tracked

This creates two layers of work:

Layer 1: Clean-up

  • Fix past mistakes
  • Rebuild accurate financial records
  • Correct trust account issues

Layer 2: System Build

  • Create a new structure
  • Implement software
  • Design processes

Real Example

Firm A (Organized Books):

  • Monthly fee: $1,100
  • Setup fee: $2,500
  • No additional cleanup needed – Started in January of current year

Firm B (Disorganized Books):

  • Monthly fee: $850
  • Setup fee: $5,750
  • Additional cleanup project required – 5 months of accounting, tax return catch-up, and trust account reconciliation

CPA Pro Tip

The longer you wait to fix your books, the more expensive it becomes. Cleanup does not go away. It builds over time.

Trust Accounting: The Most Critical Part of Setup

Why It Matters

Trust accounting is one of the biggest risks for law firms.

Mistakes here are not just financial. They can lead to compliance issues and serious consequences.

How It Works

A proper trust accounting system includes:

Account Structure

  • Separate operating account
  • Separate IOLTA account

Client Ledger Tracking

  • Each client has their own balance
  • Funds are tracked individually

Three-Way Reconciliation

  • Bank balance
  • Trust account balance
  • Client ledger totals

All three must match at all times.

Software Integration

  • Clio or Practice Panther connected to QuickBooks
  • Automated tracking of trust transactions

Monthly Compliance Process

  • Regular reconciliation
  • Review of all balances, overall trust balance and individual client balances

CPA Pro Tip

If your trust account has not been reconciled monthly, expect cleanup work during onboarding. This is very common.

What Impacts Your Total Setup Cost?

Why It Matters

Not every firm pays the same. Setup fees vary based on complexity and timing.

How It Works

Your total cost depends on:

1. Transaction Volume

  • More transactions require more review and analysis

2. Condition of Books

  • Clean books reduce setup compliance
  • Messy books increase cost

3. Time Behind

  • 3 months vs 2 years of backlog

4. Trust Accounting Issues

  • Errors require detailed correction
  • Having a beginning proper three way reconciliation, or not

5. Number of Accounts

  • Multiple bank and credit accounts add complexity

6. Software Integrations

  • Clio, Practice Panther, or other law firm software
  • Payroll systems
  • Payment processors

CPA Pro Tip

A proper review before onboarding will give you a clear scope. When shopping for a new CPA firm, avoid firms that give flat pricing without looking at your books, especially your trust account.

What You Gain From a Proper Setup

Why It Matters

Setup fees are not just a cost. It’s an investment in keeping your license in compliance as well as making sure you’re not overpaying in income taxes. It creates long-term value.

How It Works

After setup, your firm gains:

Clear Financial Reporting

  • Accurate profit and loss and balance sheet
  • Real-time numbers

Tax Strategy Opportunities

  • Identify deductions
  • Plan ahead instead of reacting

Time Savings

  • No more manual tracking
  • Less stress during tax season

Compliance Confidence

  • Trust accounting handled correctly
  • Audit-ready records

Better Decision-Making

  • Clear view of profit and cash flow
  • Ability to plan growth

CPA Pro Tip

Most firms recover the cost of setup through improved tax strategy and better financial decisions within the first year.

Additional Considerations

Many firms overlook small issues that create big problems over time:

  • Old trust balances that were never cleared
  • Accounts that were never reconciled
  • Expenses categorized incorrectly
  • Missing receipts or documentation
  • No monthly review process

These issues reduce the value of your accounting system.

Fixing them during setup creates a strong foundation and prevents future problems.

If your records are disorganized, start with simple habits. This guide explains how to keep clean records without adding complexity.

FAQ Section

Q: Why do I have to pay a setup fee?

A: Because the upfront work is significant. It includes accounting clean-up, system design, and compliance setup. We also ensure your records can produce a proper three-way trust reconciliation report.  This creates the foundation for everything going forward.

Q: Is $850-$2,500/month typical for law firm accounting?

A: For specialized services that include bookkeeping, tax planning, and trust accounting, this falls within a professional range. The IOLTA trust account requires a complex accounting process and a professional who understands that.  Overall, law firms require more oversight than standard businesses.

Q: Will I have additional fees beyond the setup fee?

A: Possibly, but we try to identify this during the prospect phase so you understand everything upfront. Generally, additional fees may occur if we need to go further back during the clean-up phase than we anticipated, or if we need to amend prior tax returns because they were filed incorrectly.  We always try to give these costs upfront so you’re not surprised or caught off guard.  We don’t like surprises either!

Q: Can I avoid setup fees?

A: No. Without proper setup, your system will not function correctly. Skipping this step usually leads to inaccurate books and higher costs later.

Q: How long does onboarding take?

A: Most firms are completely set up within 2–6 weeks. More complex cases, especially with backlog or trust issues, may take longer. This is also dependent on how quickly you or your team are able to communicate with us and get us the documentation and information needed.

Q: What happens after setup is complete?

A: After you’re fully set up, we schedule a Strategy Session with you where we review your financial situation, go over prior financial reports, and plan for income taxes.  Then you move into a structured monthly system that includes bookkeeping, reporting, and proactive tax planning and projections. This is where long-term value is created.

Q: Will my monthly fee change over time?

A: It can. We review fees 90 days after onboarding to ensure we have priced the engagement correctly.  There may be an increase if you didn’t tell us about bank accounts or other complex matters during our prospect phase, but if everything was shared properly during the prospect phase there is no change in your monthly fee.  And then as your firm grows and complexity increases, pricing may be adjusted to reflect the level of support required.  Generally we review our prices once a year.

Conclusion

Law firm accounting setup fees are not just an upfront cost. They are the investment required to move from disorganized records to a structured financial system, saving you money, time, and stress.

Without proper setup, your numbers are unreliable. That leads to poor decisions, higher taxes, and increased risk.

With the right system, your accounting becomes a tool. It supports growth, improves cash flow, and reduces stress.

For solo and small law firm owners, this transition is often a turning point. It shifts your firm from reactive to intentional.
